Coding your Photos


I'm trying to computerize the coding of my photos to have a way of tracking them. My bookkeeper wants every photo I sell to be tracked in Quickbooks. I have already been setting up a coding system to make it easier to find them on the computer. I have been coding them by catagories such as: Sunrise/Sunsets, Flowers, Seascapes, Landscapes, also by Towns if I have a lot of that area. What have you used to make it easier to track? I need all the help I can get. I also have photos in a Convenience Store. I have to check every card there for the code number on the back and check it off my list, but the problem is I don't know exactly which shot it is until I go back to the computer and pull the photo up. I hate having to go through every card there as it is too time consuming. Any Suggestions? Kathy in NH

  What you need is a database on your computer that has the image name, an image description, and some categorization fields.

You can use the image name that is generated by your camera, i.e., IMG001.JPG, or you can rename the images as you import them to your computer with a datestamp and sequence number, i.e., 060105_001.JPG for the first picture taken on 1/5/2006. I would most likely use the image name, and my database would have the following fields: image name, date taken, lens used, title (what I would call the image), description, location, and categories (multiple entries, so I can put the image in more than one category).

If you have MS Access or another database program this shouldn't be too hard to set up.

If you're really selling a lot of photos, then you might want to consider barcoding them (on the back). But you're stepping into more advanced stuff... and by your question I think you'd need some help.

  I code my photos by date and place, so I might have something like 2005.09.13_Tampa 001. then I catalog each one using special software so I can search by date, location, or keyword, and it tells me which disc a particular photo is on.
